PART TWO
Privacy Notice
This notice explains what Print Keep handles, why, how long it is kept, and your choices.
1. Scope and contact
This notice applies to Print Keep’s website, installed web app, account and guest-preview access, support, and optional features. Print Keep’s creator is responsible for deciding how account data is used. Submit privacy questions or requests through Feedback while signed in, or email admin@myprintkeep.com without an account. Do not send passwords, sign-in codes, or payment-card details in support messages.
2. Information collected and why
Email, authentication ID, display name, invitation or access status, policy version, and acceptance time—to sign you in, control beta access, and maintain your account.
A random guest identifier, secure browser cookie, policy version and acceptance time, last-active time, collection choices, private notes, and binder layouts—to keep a private guest workspace available while you use it (until 12 months without use), show the administrator a pseudonymous guest-session activity signal, and transfer supported data if you create or sign into an account.
Owned quantities, copy records, wishlist and favorites, private notes, binder layouts, profile settings, and private trade logs—to provide the collector tools you choose to use.
Profile and collection images, feedback text and screenshots, correction submissions, filenames, and related metadata—to display your content, answer support requests, and review requested catalog changes.
Photos you select, a consent timestamp, job status, detected print names, confidence, and review choices—to perform the scan you request and let you approve results before changing your collection.
Questions, recent conversation context, and selected catalog or binder-curation context—to answer requested Ask Print Keep questions or provide suggestions. These requests are separate from product analytics.
A random session ID, visits, page or feature opened, button or link labels, feature action, success or failure, response status, and duration—to find bugs and decide what to improve. Guest-preview clicks and feature analytics are disabled; the administrator sees only a pseudonymous guest-session activity signal.
Session cookies, push subscription details, rate-limit records, and security events. Hosting and authentication providers may also process IP address, browser, device, and request-log information to deliver and secure the service.
Information comes from you, your activity in Print Keep, and the providers that authenticate and deliver the service. Optional location tools, where available, request browser location only when you choose to use them, as explained below. Print Keep does not ask for government identifiers or health information. Plus checkout is not currently available.
3. Beta analytics boundaries
First-party beta analytics do not record message or post text, search terms, form entries, access codes, uploaded image contents, or request bodies. They are used only to understand visits, navigation, feature health, and errors. A security system may separately retain a limited excerpt and reason when an AI request is flagged for abuse or safety review; those records are not product analytics.
4. Optional AI scans and assistance
AI scanning is off unless an authorized collector selects photos and checks the scan consent box. Selected photos are sent to OpenAI for automated print recognition. For binder scans, Print Keep’s private source copy is scheduled to expire within the period shown at upload, up to 24 hours, then removed during cleanup. Physical deletion may occur later than the expiry time. Detection results and your review choices remain with the account until deleted or no longer needed to provide the feature.
Haul scans keep a private photo with your haul, along with its date, optional place and notes, reviewed prints, and quantities. These remain until you delete the haul or your account. Saving a haul does not change collection quantities; adding it to your collection requires a separate confirmation.
Requested Ask Print Keep answers use OpenAI or Anthropic, depending on the configured provider. AI binder suggestions use OpenAI. The request may include your question, recent conversation, selected catalog or curation context, and a pseudonymous safety identifier derived from your account. Print Keep may keep results and request metadata to provide the feature and address safety issues. Do not include information about yourself or others that is unnecessary for the request. Provider processing and retention are separate from Print Keep's own records; disabling provider response storage does not mean that no provider logs are retained.
5. When information is disclosed
Print Keep discloses information only as needed to:
- providers of hosting, databases, private file storage, content delivery, authentication, and security;
- AI providers when you request a scan, Ask Print Keep answer, or AI binder suggestions;
- map and external image providers when your browser loads their content, as described below;
- browser push-notification services when you enable notifications;
- comply with law, protect rights and safety, investigate abuse, or respond to a valid legal request; or
- support a future service transfer, subject to continued protection and notice where required.
Advertising is not currently enabled. Print Keep is preparing Google AdSense and affiliate links; their status and potential data use are explained below. Enabling a future feature does not make your private collection, notes, or personal uploads public.
6. What is private and what may be shared
In Print Keep V1, guest-preview data and account collection quantities, individual copies, photos, private notes, ISO/DISO status, favorites, and trade flags are private unless you deliberately enable the Trade Hub sharing described in section 14. Guest identities do not appear in collector search, profiles, community features, notifications, trades, or admin collector lists. Content is shared only when a signed-in feature clearly asks you to publish or contribute it. Common Archive facts are shared catalog records and remain after an account is deleted; personal attribution is removed or replaced where appropriate.
7. Retention
- Account and collection data are kept while the account is active and are intended to carry into launch.
- Binder recovery keeps up to 20 saved versions per binder and recovery records for the five most recently deleted binders. Older recovery records are removed as those limits are reached. Deleting a binder does not delete your owned collection copies.
- Guest data remain accessible while the guest session is used. After 12 months without use they become inaccessible and are deleted during cleanup unless transferred to an account first.
- Binder scan source photos are scheduled to expire within the period shown at upload, up to 24 hours, and are removed during cleanup; physical deletion may occur later. Private haul photos and records remain until you delete the haul or your account.
- Event-level beta analytics are retained for beta support and feature evaluation. The intended retention limit is 12 months after the beta ends, followed by deletion or aggregation; this is a retention policy, not an automatic deletion timer.
- Feedback and security records are kept only as long as reasonably needed to respond, prevent abuse, resolve disputes, or meet legal duties.
- After deletion, a minimal former authentication identifier may remain as a security tombstone so deleted access is not accidentally restored.
Provider logs and backup copies may take additional time to expire under provider retention and recovery processes.
8. Your choices and privacy requests
You can review and correct account details, download a collection CSV, manage optional uploads and notifications, and delete your account from Profile & Settings. You may also request access, correction, export, or deletion through Feedback. Print Keep may verify your identity and may retain information when an exception is required for security or law. Where applicable, you may exercise rights to know, delete, correct, opt out of sale or sharing, limit certain sensitive-data uses, and receive equal service without discrimination. Optional permissions can be withdrawn in your browser or device settings. Ads are currently off. We will explain the available advertising choices before ads are activated.
Guest collectors can discard their guest workspace from the account-creation page. Creating or signing into an account from the same browser transfers supported guest collection and binder data and invalidates the guest session.
9. Cookies, Global Privacy Control, and Do Not Track
Print Keep uses essential sign-in cookies, a secure guest-preview cookie, and device-local storage for session continuity, offline changes, cached app resources, and interface preferences. Clearing browser storage may remove guest access or changes that have not yet synced. Advertising is currently off. The planned advertising setup will include updated disclosures and applicable consent or opt-out controls. Advertising opt-out and Global Privacy Control controls are not currently active. Do Not Track has no universally adopted response standard; it does not replace your browser permissions or the privacy requests described above.
10. Children
Print Keep is not directed to children under 13 and does not knowingly collect their personal information. A parent or guardian who believes a child under 13 supplied information should contact the operator so it can be investigated and deleted.
11. Security and processing location
Print Keep uses access controls, private-by-default product settings, protected server credentials, and limited retention designed to reduce risk. No online service can guarantee absolute security. Information may be processed in the United States and other locations where service providers operate, subject to their contractual and legal protections.
12. Notice updates
Material privacy changes will be presented clearly and will use a new version; renewed acknowledgment or consent will be requested when appropriate. Print Keep will not quietly apply a materially broader use of previously collected data. The update date and privacy-notice version appear on the Privacy page.
13. Optional location, maps, and ISO watch
Where these tools are available, Use my location asks your browser for permission to obtain coordinates and an accuracy estimate. Print Keep uses this to center maps, estimate distances, and compare your ISO/DISO print choices with machine listings. On Home and the Machines map, the chosen location is remembered in this browser’s local storage, rounded to about half a mile, so it is still set next time; Clear location removes it. You can choose a nearby machine instead or revoke browser permission. This location selection is not sent to or saved in your Print Keep account and is not used for continuous background tracking.
In Road trip, you can use your device location as the starting point instead of typing a place. Finding a route sends that starting point and your destination to Google Routes. Opening directions sends the starting point, destination and selected machine addresses to Google Maps. Your starting location stays in memory for this visit and is not saved with your account or trip.
Road trip address suggestions send the text in the From or To box to Google Places while you type. Selecting a Google suggestion also requests its full address. Print Keep keeps these suggestions in memory for this visit and does not save the typed text or suggested addresses to your account. Machine and city suggestions come from Print Keep’s own directory.
Good spots nearby are Print Keep’s own list of places near each machine, mostly collected ahead of time. To build it, Print Keep sends the machine’s location to the Overpass services run by VK Maps and Private.coffee, public place identifiers to Wikidata, article titles to Wikipedia for short introductions, and image names to Wikimedia Commons. These lookups do not include your Print Keep account or collection. The saved list is refreshed after about a month. Photos load from Wikimedia Commons in your browser, which receives ordinary connection information such as your IP address. Places are © OpenStreetMap contributors, under the Open Database License.
Ask Print Keep can find machines near a street address, ZIP code or landmark you type. When you ask that kind of question while signed in, Print Keep sends the address part of your question to the free US Census Geocoder and, only if that finds nothing, to OpenStreetMap Nominatim, to turn it into map coordinates. Print Keep does not save the address or coordinates to your account. Opening the answer’s map link puts a rounded result location in your browser’s page URL; browser history may retain it, and copying that URL shares the approximate area. Results found through Nominatim are © OpenStreetMap contributors.
Your saved trip contains the machines you select and their stop order, stored privately with your account so you can return to it later. It does not store your device location or track your travel. You can remove stops or clear the saved trip from the map. Opening directions sends the selected machine addresses to Google Maps.
Loading a map sends requests to its imagery provider. OpenStreetMap tile requests reveal the map area being viewed and normal network information such as your IP address; centering near you may therefore reveal an approximate area to the provider. Opening an external Google Maps directions link also sends the selected place to Google under its privacy policy. Choosing Look around loads an embedded Google Maps Street View frame and sends Google the selected machine coordinates, your IP address and ordinary browser request information; Google may use its own cookies under its privacy policy. The frame is not loaded until you choose Look around. Browser location services have their own providers and policies. Machine listings and distance estimates are not proof of current stock.
Read the OpenStreetMap Foundation privacy policy and Google privacy policy.
14. Trade Hub access and collector sharing
Current Print Keep members can choose to join Trade Hub without a separate invitation or approval. Joining requires your consent and does not automatically publish your entire collection. Administrators can restrict or restore trading access; access decisions and any earlier requests remain recorded for moderation. Site signup settings are separate from trading participation.
When you join trading, other eligible participants who have joined can discover your selected UFT prints, available trade quantities and ISO choices through matching and posts. This does not publish your entire collection, private notes or binder. Personal list order is private. An optional trading-preferences blurb is shared with eligible joined collectors when you save it. Trade offers, condition notes you add to an offer, messages, delivery details and trade photos are restricted to the two participants. Messages and delivery details open after both participants agree. Trade badges and Top traders rankings are visible to eligible joined Trade Hub members and use completed Hub trades.
Delivery-address fields are cleared when a trade completes, is cancelled, or its offer is changed. This does not remove an address you type into a chat message or include in a photo. Messages and trade photos remain in private trade history; there is no automatic seven-day deletion timer. Account deletion removes that account's Trade Hub conversations and uploaded files, including their availability to the other participant. Each participant's private Collection Tracker may retain its transaction record. Completing a trade updates collection quantities and creates a linked tracker record. You can request help or deletion through Feedback.
Existing private Collection Tracker records stay private. If you deliberately create a share link, publish a profile section, or download an image for sharing, the selected content can be seen by its recipients. A recipient may save or forward a copy; removing the original cannot erase copies already made elsewhere. Administrator support and authorized moderation access are separate from public visibility.
Keeping Up leads are visible to their author and administrators while awaiting review. Approved posts, including their text and links, are public. Archived posts and review records remain stored until removed or the submitting account is deleted. Help-team applications record your account, interests, application text, status and review history for administrator review. Acceptance does not itself grant administrator powers; responsibilities are assigned separately.
15. Collector Picks and affiliate links
Collector Picks is publicly available, including featured picks on Home. Some product links are affiliate links. If you follow an affiliate link and make a qualifying purchase, Print Keep may receive a commission at no extra cost to you. As an Amazon Associate, Print Keep earns from qualifying purchases. Product recommendations do not require you to buy anything.
Retailers and affiliate services handle activity on their sites under their own privacy notices and may use cookies or identifiers to attribute purchases. Linked or embedded product images may also request files from a retailer's image service. Following a retailer link leaves Print Keep; check that site's privacy and purchase terms before entering information.
16. Advertising preparation and consent
Print Keep is preparing Google AdSense. Ads are currently off. Before activation, this notice will explain the advertising services in use and how to manage your privacy choices.
If Google advertising is enabled later, Google and the disclosed advertising partners may receive page URLs, IP addresses, browser/device information, cookie identifiers, and ad interactions to deliver and measure ads, prevent fraud, and personalize ads where permitted. Advertising cookies may relate visits across sites. Read how Google uses information from partner sites.
The planned Google consent setup covers the European Economic Area, United Kingdom, and Switzerland. Google may show its standard choice screen or an optimized limited message. When ads launch, we will explain how to review, change, or withdraw choices, and the options available in other regions, including applicable US opt-out rights. These advertising controls are not yet available on Print Keep.
17. Print Keep Plus and notifications
Print Keep Plus is being prepared. Where a membership status is available, the app uses account-linked eligibility and expiration information to determine Plus features, such as an ad-free experience. Checkout is not currently enabled. Payment-provider details, billing data, subscription management, and applicable retention information will be disclosed before payments launch.
Existing account and support messages may use your email. Browser push notifications require permission; their delivery uses a device/browser subscription. You can change available notification preferences in the app and revoke push permission in browser settings. An ISO watch listing is not a promise of automatic email, text, background-location, or push alerts.
